ADEA Oral and Poster Presentation Guidelines
REQUIREMENTS AND PREPARATION
If you are participating as either a speaker or poster presenter for the Australasian Diabetes Congress 2025, please read through the information below. If you have any queries, please contact adc@theconferencecompany.com.
Registration
All presenting authors (oral and poster) will be required to register for the Congress in order to ensure their abstract(s) is included in the final program. Congress registrations are available now.
In order to allow us to include your details in the Congress App and have your abstract included in the Congress proceedings, note that you needed to have registered no later than 27 July 2025. Otherwise, we regret that your presentation will be removed from the program.
If you decide to withdraw your abstract, please advise us as soon as possible so that the program can be adjusted accordingly.
Preparation of Presentation Slides
Please save your slide setup in 16:9 ratio (widescreen) to fit the projection being used.

Uploading your Presentation Slides
Please upload your final presentation ahead of the congress to mitigate queues in the Speaker Preparation Room

Labelling your file in the following format will help the AV technicians identify your slides easily and direct them to the correct meeting room - please label your file as follows: Day_Time_ Room_Surname - e.g. WED_1130_Meeting Room 6_SMITH.pptx.
Speaker Preparation Room
A Speaker Preparation Room is available to work on any changes to your presentation and located near the Registration Desk. The room will be available at the following times:
- Wednesday 20 August, 0700-1800hrs
- Thursday 21 August, 0700-1800hrs
- Friday 22 August, 0700-1300hrs
If you have already uploaded your talk and need to make changes on the day, please visit the Speaker Preparation Room at least 2-hours before your presentation to make the changes. Please bring a copy of your presentation slides on a USB on the day.
At the venue
Each session room is equipped with standard presentation technology, and you will have the choice of a lectern microphone or handheld microphone. The venue is also set up for Mac users. Please take the time to visit your session room at least 30-minutes before the session starts.
Preparation of Printed Posters
Posterboard Size
- Each poster is limited in size to A0 paper size, 841mm wide x 1189mm high. Portrait orientation is required. Nothing larger can be accommodated.
- Poster boards will be Velcro compatible.
Designing your poster
The poster should be self-explanatory, so that you are free to supplement and discuss particular points raised by viewers. Remember that your material/illustrations will be viewed from distances of one metre or more. Lettering should be as large as possible and preferably in bold type.
INITIAL SKETCH. Plan your poster early. Focus your attention on a few key points. Try various styles of data presentation to achieve clarity and simplicity. Does the use of colour help? What needs to be expressed in words?
ROUGH LAYOUT. Enlarge your best initial sketch, keeping the dimensions in proportion to the final poster. Ideally, the rough layout should be full size. Draw rough graphs and tables. This will give you an idea of proportions and balance.
BALANCE. The figures and tables ought to cover slightly more than 50% of the poster area. If you have only a few illustrations, make them large. Do not omit text but keep it brief. The poster should be understandable without oral explanation.
TYPOGRAPHY. Avoid abbreviations, acronyms and jargon. Use a consistent type-style throughout. Use large type, for example HELVETICA. A 22mm x 30mm sheet photo statically enlarged 50% makes text readable from 1.5 metres.
MOVEMENT. The movement (pathway) of the eye over the poster ought to be natural (down columns and along rows). Size attracts attention. Arrows, hands, numbers and symbols can clarify sequence.
SIMPLICITY. Do not overload the poster. More material may mean less communication. Ask yourself, what do I want the viewer to remember?
FINAL LAYOUT. The artwork is complete. The text and tables are typed but not necessarily enlarged to full size. Now ask - "Is the message clear? Do the important points stand out? Is there a balance between words and illustrations? Is the pathway through the poster clear?"
Hanging your poster at the venue
Posters will be on display in the Exhibition Hall from 0900hrs, Wednesday 20th August to 1400hrs, Friday 22nd August.
- Please hang your poster on Wednesday 20th August from 0900hrs. Posters that are not available during judging will be disqualified for nominated award considerations.
- All authors are responsible for removing their posters from the poster hall. Please do not remove your posters until 1400hrs on Friday 22nd August. All uncollected posters will be destroyed.

ADEA ACCEPTED AS ORAL
ADEA Oral Session Presentations
Your oral presentation is comprised of a presentation followed by questions and answers. Each presentation will be 12 minutes long – it will consist of a 10-minute presentation followed by a 2-minute Q+A. Please refer to your confirmation email for the location and time of your presentation
ADEA Oral Symposia and Masterclass Presentations
If you have been invited by the Organising Committee to present in a Symposia or Masterclass session, please refer to your presentation email for the location and time of your presentation.
ADEA ACCEPTED AS POSTER
ADEA Poster Presentations will take place inside one of the meetings rooms. You have been selected to present your poster as a digital presentation with a maximum of 2 PowerPoint slides. Abstract content should include intro, aims, method, results & conclusion. You must also additionally display a hard-copy poster on a poster board located in the exhibition hall.
1. Upload your final presentation ahead of the congress to the ADC25 Presentation upload Portal and rename the file in this format: Day_Time_ Room_Surname - e.g. WED_1130_Meeting Room 6_SMITH.pptx.
2. Please ensure you are in the meeting room you are presenting in prior to the start of the session and check in with the chairperson.
3. 3 minutes has been allocated for your presentation with 2 minutes to answer a few questions. There will be a count- down buzzer. Please stick to time.
4. At 5 minutes the chairperson will thank you and introduce the next speaker.
ADEA Physical Posters
If you were accepted for a physical poster presentation only, please see the printed poster guidelines above. Your poster will be on display in the Exhibition Hall for the duration of the congress.
